The business portfolio: the governance layer

The business portfolio (formerly Business Manager) is the container that owns the assets and hands out the rights. Three rules avoid the most frequent problems:

  1. The company owns the portfolio, created with a professional e-mail address and at least two internal administrators. A provider is added as a partner (its own portfolio receives delegated rights) or as a person with a limited role, never as the sole administrator.
  2. All the assets are attached to the portfolio: Facebook page, professional Instagram account, ad account, pixel (dataset), catalogue, verified domain. An asset held by a personal account or by the provider is an asset the company can lose.
  3. Roles are kept minimal: administrator for two internal people, page or advertising manager for the others, read access for management; a review of access every six months, immediate removal of people who have left.

Setting up in eight steps

  1. Create the business portfolio on business.facebook.com with a director's personal account and the company e-mail address; add a second administrator.
  2. Add the Facebook page (claim or create it) and connect the Instagram account converted to a professional account.
  3. Create the ad account inside the portfolio (currency, time zone, company payment method).
  4. Create the dataset (pixel) and install it via Google Tag Manager with consent; see installing the Meta pixel.
  5. Verify the website domain (tag, file or DNS): required for measurement and for editing links.
  6. Turn on two-factor authentication for all administrators (mandatory) and fill in the business information (business verification if you want access to certain features such as WhatsApp Business).
  7. Add the people and partners with minimal roles.
  8. Set up the inbox: saved replies, welcome message, opening hours, assignment.

The free features that are useful every day

Moving to advertising

The “Boost” button in Business Suite is fine for pushing a post that already works to a simple audience; it does not replace Ads Manager, which offers conversion objectives, detailed audiences, placements and tests. Before the first campaign, three prerequisites in the portfolio: a pixel with the conversions API sending the key events, a verified domain, and the company payment method on the ad account. The frequent mistakes

  • Page or ad account created in the provider's Business Manager: lost at the end of the contract.
  • A single administrator: complete deadlock if that person leaves, is hacked or has their personal account disabled.
  • No two-factor authentication: the leading cause of ad account hacking (fraudulent spend).
  • An unverified domain: links cannot be edited, conversion events are limited.
  • An unmonitored inbox: customer messages left unanswered for days.
  • Confusing the personal account (used to log in) with the company's assets (which must sit in the portfolio).
